In the past, the General Assemblies of the European Geosciences Union (EGU) have been supported by very active students who have done a great job in assisting our attendees at registration or during their presentations. We would like to cordially invite you to apply for a job as a conference assistant at the EGU General Assembly 2020 in Vienna, 3–8 May 2020.

General information

  • Only students with a student ID card and an EU (excluding UK and Croatia) or Swiss passport are allowed to work at the EGU General Assembly.
  • The ability to speak fluent English is mandatory.
  • Students have to arrange and finance their travel to and from Vienna/the venue, accommodation, and food on their own.
  • The hourly wage is €9/hour + €150 travel money for students from outside Vienna. The city of your university is considered your current place of residence.
  • Conference assistants will receive a lunch voucher for a sandwich and a soft drink (equivalent of €6.30) per working day from Sunday to Friday. In addition, they will receive a free public transportation ticket for Vienna (Zone 100) valid from Monday to Friday.
  • Tax regulations in your home country could obligate you to pay income taxes on the amount earned at the EGU General Assembly (including travel money). The respective taxation is your responsibility.
  • For Austrian residents: If you have other income in Austria in 2020, you will be forced to pay income taxes in Austria should the sum of all income, including the amount earned at the EGU General Assembly (including travel money), exceed €11,000 gross.
  • For non-Austrian residents: residents: If you have other income in Austria in 2020, you will be forced to pay income taxes in Austria should the sum of all income, including the amount earned at the EGU General Assembly (including travel money), exceed €2,000 gross.

Working areas

A job application is possible for the following working areas. Please note that it cannot be guaranteed that you will actually be assigned to your preferred working area.

The following details are valid for Monday to Friday. In addition, lecture room assistants are called for an introduction on Sunday. The actual time spent on Sunday for the introduction and preparation determines the paid hours.

  • Fix the daily programme to the board at the entrance of the room.
  • Check that there is water for the speakers. The caterer will provide one fill in the morning. Please (re)fill the water during the breaks.
  • Help the chairpersons with their microphone, timer, and the daily programme (if any changes occur).
  • Help the speakers with their presentation organization: transfer the data or connect their notebooks, and give them the microphones and the USB presenter tool or wireless mouse.
  • Provide the discussion microphone during discussions at the end of the talks.
  • Fill out the statistic sheet for the different time blocks/sessions.
  • Your main job is during the breaks when the authors of the following session organize their presentations. Please stay in the lecture room with the exception being the lunch break.
  • Assistants without evening lecture
    • Presence: 07:30–18:30 (11 hours)
    • Lunch break: 13:00–13:30
    • Working hours: 10.5 hours
    • Paid hours: 11 hours
    • Remark: sessions in lunch TB staffed with floating assistants
  • Assistants with evening lecture
    • Presence: 07:30–20:30 (13 hours)
    • Lunch break: 13:00–13:30
    • Intermediate break: 18:15–18:45
    • Working hours: 12 hours
    • Paid hours: 13 hours
    • Remark: sessions in lunch TB staffed with floating assistants

The following details are valid for Monday to Friday. In addition, poster assistants are called for an introduction on Sunday. The actual time spent on Sunday for the introduction and preparation determines the paid hours.

  • Help the authors with putting up their posters and providing material.
  • Remove all posters in the evening that have not yet been taken down by their authors.
  • Fill out the statistic sheet for the different time blocks/sessions.
  • You are the contact person for all kinds of requests.
  • Working hours
    • Presence: 07:30–19:00 (11.5 hours)
    • Lunch break: 13:00–13:30
    • Working hours: 11 hours
    • Paid hours: 11.5 hours

The following details are valid for Sunday to Friday. The actual time spent on Saturday for the introduction and preparation determines the paid hours.s

  • Help the authors with uploading and previewing their PICOs.
  • Fix the daily programme to the board at the PICO spot.
  • Help attendees who visit the spot individually for viewing of presentations.
  • Fill out the statistic sheet for the different time blocks/sessions.
  • You are the contact person for all kinds of requests.
  • Working hours Sunday
    • Presence: 10:30–18:30 (8 hours)
    • Lunch break: 30 minutes individual
    • Working hours: 7.5 hours
    • Paid hours: 8 hours
  • Working hours Monday–Friday
    • Presence: 07:30–18:30 (11 hours)
    • Lunch break: 30 minutes individual
    • Working hours: 10.5 hours
    • Paid hours: 11 hours

Registration assistants are called for an introduction on Saturday. The actual time spent on Saturday for the introduction and preparation determines the paid hours. We only guarantee an engagement until Monday evening. The continuation of the engagement until any time before Friday 13:00 depends on the daily decisions by Copernicus about the required personnel capacities.

  • Help participants to register for the EGU General Assembly and print out their name badges.
  • For attendees paying on-site, handle the cash or credit card payment.
  • You are the contact person for all kinds of requests.
